Outsourcing Content SOP
The purpose of this SOP is to provide detail and context to the outsourcing of content resource.
This falls under:
- Landing pages
- Blog content
- Social posts
- Design work
This SOP will enable us to better control the flow of outsourced content and ensure that we are only outsourcing content that we a) need to b) have the allocated budget for.
Step One: A member of the team identifies a need for a given piece of content, this will largely be the need on the back of SEO analysis or a clients wants. Creating content should only happen if a) the client is expecting the content because of contractual reasons b) all indexation issues have been addressed
Step Two: Estalbishing the clear objective of the why you are creating the content in the first place will ensure that when the content is created, we truly understand why we have created that piece of content in the first place.
Step Three: The member of the team will develop a tight brief for each of the piece of content, this will be run in the standard blog or landing page briefing templates located in the drive and the SOPs for each followed closely.
Step Four: Once armed with the brief, the member of the team should send the brief to JJ to communicate with the freelancer to establish:
- Production deadlines
- Budget confirmation
- Queries on the brief
Once JJ has all of this information, he will communicate this back into the team. At no point should anyone but JJ communicate with the freelancer unless AJ is discussing billing or the freelancer has asked for clarity on a brief etc.
This is super important to control communication.
Note: AJ & JJ will be holding weekly meetings to discuss content to be sent to freelancers, only when content budget is signed off will the content be produced. JJ is to communicate with the team when he has had the budget signed off.
Step Five: The freelancer will be left to create the content, JJ to check in prior to the deadline to ensure that the content is going to be received back. This will be again communicated back to the team.
Step Six: Once JJ has received back the content, he will review and once happy send it to the delivery team for upload and client sign off.
Communicating to freelancers
Ultimatly, freelancers will decide how they wnat to speak to us, if it is regular content, we should encourage/force them onto Basecamp.
We should avoid where ever possible using Whatsapp or text for communication with freelancers.
